Medicare Expands Crackdown on Fraud
Medicare has announced new aggressive efforts to combat fraud.  Changes include: more stringent background checks of equipment suppliers, unannounced visits to health care entities, and more scrutiny of billing records submitted by doctors.

The adjusted allowed rates for copying medical records in the State of Maryland are: A preparation fee of no more than $22.18.  A maximum fee of $0.73 per copied page plus any incurred shipping & handling fees.

 

NOTE: Rates vary by state and should be determined on a state by state basis.

Dear Clients and Friends of SHR,

Are you starting to feel the changes?  The weather is getting brisk, schools are back in full swing, and the stores are putting out holiday decorations.  At SHR, we have many new changes taking place as well.  I am extremely pleased to announce that we have hired Ms. Lindsay Frank as our Director of Client Relations.  Lindsay will focus on maintaining our strong relationships with our clients, as well as assisting in developing new services and business relationships for SHR.  One of Lindsay's initial projects is revamping our client newsletter, SHR SHoRts, which as many of you can see has a completely new "look and feel."  We hope you will join us in welcoming Lindsay to our SHR team. 

 

An additional exciting change at SHR that we are pleased to share with you is that we are now providing medical billing services for a select number of clients through our billing company affiliate, Professional Billing Partners (PBP).  We will be sharing more about PBP's services with you in the upcoming issues of SHR SHoRts.

 

With the changing of the season, it reminds us that the New Year, (yes, that's right 2009) is not that far away.  It is a great time to prepare for the upcoming year and make some of those changes that you've wanted to make in your Practice.  Perhaps you want to look at a new software system, evaluate an EMR, have an independent coding audit done for compliance (and to ensure that you're not leaving money on the table), strengthen your billing processes, conduct a patient satisfaction survey, add an ancillary service, hire a new employee or strengthen internal communications and customer service techniques with your current employees.  Whatever the changes may be, make sure you thoroughly evaluate the impact on your Practice and strategically initiate the change to ensure that the outcome is positive.  Changes can be challenging but they can also be very rewarding if the change process is well-planned and executed.

Q&A: ASK SHR'S EXPERTS

Our Practice is unsure whether it is time to change or upgrade our Practice Management billing software system.  What should we be looking for and when is it time to make a change?

 

Changing your Practice Management (PM) billing system is a daunting task for most Practices.  Unfortunately, for this reason, many Practices continue to use antiquated software that fails to meet their current needs, and hinders their day-to-day processes and procedures.  A Practice's billing software is fundamentally important to all aspects of operations.  Failing to upgrade could potentially cost your Practice thousands of dollars each year.  

  

Is it time for your Practice to make a change? Use the questions below to begin analyzing whether your current system is in need of an upgrade.  

 

1. How long has your Practice been utilizing the current system? If it's been around longer than you, and you've been in the Practice for 10 years, it's probably time for an upgrade or change.

2.  Is your Practice thinking of implementing an EMR in the near future?  If the answer is yes, but your current system doesn't integrate with EMR, that interface could be very challenging and costly!  Additionally, selecting an EMR or EHR that is certified through the Certification Commission for Healthcare Information Technology (CCHIT)  should be at the top of your list. (The Commission is a recognized certification body for electronic health records and their networks, more information can be found at www.cchit.org).

3. Does your system create reports that are accurate and helpful in analyzing financial productivity, monitoring third party payor contracts and managing accounts receivable in an effective way? Many systems are lacking in this area, is yours one of them?

4. Does your staff like the current system or do they have justified complaints about its lack of capabilities? If your staff never says a nice thing about the system, it definitely may be time for a change.  Make sure to get your staff's input when evaluating a new system.

5. What are you currently paying for your system?  Support? Clearinghouse fees? Statement fees? Maintenance? Feel like you pay hidden fees for your current software?  Try adding all these fees up- it may be costing you more than if you went out and purchased that new system.

 

Keep in mind that any change takes time, especially one as large as overhauling your billing system.  It is a complex and comprehensive process that will typically take months to accomplish.  SHR has assisted many Practices through this process.  If you are contemplating a change and think you need extra support,  contact SHR today.
